Module 2: Map a Process So It's Ready to Automate

How do you get a process ready to automate?

Map it to reality first, then clarify each step's owner, trigger, decision points, and data needs. Automating a messy process just makes the mess faster — so the map comes before the automation.

This is Module 2 of the free Process Automation Course. It builds on the mapping technique from the Process Implementation Playbook.

Four things to define per step

  1. Owner — the role accountable for it.
  2. Trigger — what causes this step to start (a date, a prior step, a condition).
  3. Decision points — the "if this, then that" rules that branch the process.
  4. Data — the structured inputs and outputs (these become form fields).

Turn decisions into rules

Every "it depends" in your process is a candidate rule. Write it as: When [condition], do [action]. Those become the conditional logic that makes automation smart.

Do this in ProcessKit

The rules engine and dynamic forms turn your map directly into an automatable process. The AI co-pilot can draft the structure from your notes.

Frequently asked questions

How do you prepare a process for automation?

Map the process to reality first, give each step a clear owner and trigger, identify the decision points that become rules, and define the data each step needs as structured fields. A clean map makes automation reliable; automating a messy process just makes the mess faster.
